How to create an invoice

Invoices are how you bill customers for the work you have done. CRMit calculates the totals and VAT for you as you go, and can email the finished invoice straight to the customer. Here is how to raise one.

  1. Open Invoices and start a new invoice

    From the CRMit menu open Invoices, then click Create Invoice. This opens a blank invoice ready for you to fill in.

  2. Choose the customer and set the dates

    Pick the customer from the searchable dropdown, add a customer reference if you use one, and set the invoice date and due date. The billing address fills in automatically from the customer's record.

  3. Add your line items

    Click Add Line Item for each thing you are billing. On each row:

    • Choose a product, or create a new one on the spot.
    • Add a description, quantity, rate and VAT rate.
    • Subtotals and VAT are worked out for you.
    • Use the drag handle to reorder lines, the clone button to duplicate a line, and the remove button to delete one.
  4. Check the totals

    The subtotal, VAT total and total amount due update automatically as you edit the lines, so you can see the full picture at a glance.

  5. Add notes and terms

    Add invoice notes that print on the invoice, private notes for your own reference, and confirm the payment terms and payment method.

  6. Save and send

    Click Save. Open the invoice and use Send Invoice to email it. CRMit pre-fills the recipient from the customer's Invoice To address, attaches the PDF, and lets you edit the subject and message before sending.

Tip: Marking an email as Invoice To on the customer record means the right person is filled in automatically every time you send.
